Job description

Position Overview: The Executive Assistant to the COO provides executive, confidential support in a one-on-one working relationship. The Executive Assistant (EA) serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of Chief Operating Officer and serves as a liaison to the senior management teams; organizes and coordinates internal/inter-departmental outreach efforts; and oversees special projects. The EA must be creative and enjoy working within a fast-paced environment that is mission-driven, results-driven and team oriented. The EA will exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and maintain a realistic balance among multiple priorities. The EA will work independently on projects, from conception to completion, and be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Essential Functions:

  • Completes a broad variety of administrative tasks for the Chief Operating Officer including managing an active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Plans, coordinates and ensures the COO's schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the COO's time and office.
  • Coordinates with Deputy Chief Operating Officer, ensuring that COO's meetings are staffed in her absence and follow up occurs.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the COO, including those of a sensitive or confidential nature.
  • Provides a bridge for smooth communication between the COO's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
  • Works closely and effectively with the COO and Chairman's office staff to keep her well informed of upcoming commitments and responsibilities, following up appropriately.
  • Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the COO updated.
  • Participate in operations-related and Member Services planning meetings, taking minutes, and reviewing items for follow up and completion.
  • Completes critical aspects of deliverables with a hands-on approach, including drafting emails, personal correspondence, and other tasks that facilitate the COO's ability to effectively support and assist the Chief of Staff to the organization.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Participates in daily/weekly/monthly Operations team meetings and compiles narratives for semi-monthly operations report.
  • Review and audit employee expense reports for COO approval; coordinate updates to reports with employees directly and train on use of Lost Receipt Affidavits.
  • Manage master building operations calendar of contracted projects, events, etc. to minimize conflict amongst schedules with other RNC HQ activity and leadership.
  • Manage process for obtaining Congressional Liaison badges and Capitol Hill Club memberships.
  • In partnership with the Deputy COO and Chairman's office staff, manage RNC Constituent Services responsibilities and coordinate communication with security and HR on potential threats.
  • Maintain monthly security awareness calendar and distribute to appropriate personnel as changes occur.

Education,  Skills and Experience Required

  • Bachelor's degree
  • Minimum of two years of professional experience in a relevant capacity.
  • Flexible, organized, and detail oriented, with strong follow-through skills and approachable demeanor.
  • Strong computer skills, specifically with Microsoft Office Suite (Word, Excel, Power Point).
  • Professionalism, discretion and confidentiality is a must, as well as identifying with the politically conservative organization's mission.
